Event Planner Invoice Template

An event planner invoice is used by part-time and professional planners to record the types of expenses that accrued for the scheduling of an event. Due to the average event’s complexity and wide range of potential costs, an invoice for event planning should contain an abundant number of line items in order to allow for expenses to be broken down by type. Additionally, the cost of the event planning itself service should be clearly separated from the labor and material to provide clarity for the client.

Event Space Rental Invoice – For the short-term leasing of a building, room, or land to be used for a wedding, party, or corporate event.

Event Staffing Invoice – Used for collecting payment for the employee labor committed to running an event.

What is Event Planning?

Event planning is the complex task of arranging a convention, party, tradeshow, wedding, ceremony, or other gathering from beginning to end. The event planner will most likely have the following responsibilities depending on the type of event:

  • Creating a detailed timeline
  • Staying within a pre-determined budget
  • Seek bids from caterers, venue providers, staffing companies, etc.
  • Contacting and reserving special guests and/or entertainers
  • Transportation to and from the event
  • Ensuring guest safety & receiving the necessary permits

Becoming an Event Planner

Before diving into the career head-first, many planners start by volunteering for the planning of a community event such as a fair or contest. This allows the planner to see if they enjoy the process from beginning to end and can see themselves doing it for a career. Another recommended option is shadowing a professional event planner. Not only will this build the necessary skills for striking out on their own – it will show the true day-to-day life the career provides.
